ISO Certification Experts

The number of ISO Consulting Services has increased dramatically over the last ten years so in this article we are going to take a closer look a what it means to be ISO Certification Experts.

What is ISO Certification?

The Cambridge Dictionary defines Certification as: “the process of giving official or legal approval to a person, company, product, etc. that has reached a particular standard”.

With respect to ISO Standards, eg ISO Certification, this means that an accredited, independent third party (called a Certification Body) has audited the organisation’s ISO management system and determined that it appropriately fulfills the requirements of the relevant reference standards. This may include:

  • ISO 9001 Quality Management Systems
  • ISO 45001 Occupational Health & Safety
  • ISO 14001 Environmental Management Systems
  • ISO 50001 Energy Management Systems
  • ISO 55001 Asset Management Systems
  • ISO 17025 Testing & Calibration for Laboratories
  • ISO 27001 Information Security
  • ISO 22000 HACCP Food Safety

What is an Expert?

There is an old saying that an Expert is “a burnt-out drip under pressure”, but the Cambridge Dictionary defines an expert as “a person having a high level of knowledge or skill in a particular subject”. You could say an expert is a guru or professional within the industry.

ISO Certification Experts

Who are ISO Certification Experts?

An ISO Certification Expert would be a specialist ISO Consultant who has mastered the art of developing streamlined, practical ISO management systems that add value to an organisation’s operations AND allows them to seamlessly achieve and maintain ISO certification. This means that the ISO system is a Sustainable Certification solution for the client.

Sustainable ISO Solutions are very important as certification isn’t a one-off deal – the Certification Bodies will undertake a surveillance audit on an annual basis so the ISO Management System needs to be easy to maintain.

It is important for the ISO Certification Experts have significant industry experience as well as formal qualifications in the relevant ISO standards they are consulting to.

What’s your system for managing Compliance?

What does compliance have to do with ISO 9001?

The Cambridge English Dictionary defines Compliance as “the act of obeying an order, rule, or request” – adhering to an externally imposed requirement.

The very first section (section 1 – Scope) of ISO 9001:2015 requires organisations to meet applicable statutory and regulatory requirements ie – your company Quality Management System must follow the law.

Managing changes to legislation manually can be time-consuming and inefficient; nearly impossible if you consider that there are over 90,000 amendments per year.

So how does an organisation maintain compliance with legal requirements? How do they keep up to date? There are a number of ways but here are a few options:

SAI Global’s Lawlex Service

An SAI Global product helps organisations tackle this problem by offering an automated email alert service called Lawlex Premium Legislative Alerts.

The Lawlex Premium service provides users with:

An email alert service that notifies customers about new legislation, as well as changes to current legislation that they are tracking.

  • The ability to set customised profiles according to each user’s requirements.
  • Notification by email within 24 hours of publicly announced changes to legislation, or the introduction of new legislation.
  • Plain English summaries of changes written by legally trained editors.
  • Links through to official Government sources (i.e. Federal Register of Legislation, NSW Parliamentary Counsel, State Law Publisher)

Premium Research, which provides value-added information about the legislation, such as commencement information and a history of amendments.

  • Authoritative and comprehensive; a reliable source of all current Australian law.
  • Access to the history of amendments tables, commencement information, and gazette notice references.
  • Access to second reading speeches, explanatory memoranda and historical versions of the legislation.
  • View Bill progress from Introduction to Assent, with detailed Bill Alerts about the progress of a Bill through each and every stage.

Onboarding & Training

  • New users will be contacted by the Client Support Manager to commence the on-boarding and training discussion.
  • Regular online training is provided

Add-on modules

  • Code Connect – a tool that provides access to all the Codes of practice referenced in Australia.
  • Lex Connect – Identifies any Australian Standard referenced in legislation.

For more information on the SAI Global’s compliance update service CLICK HERE (free search version) or CLICK HERE (premium subscription information).

Legislative & Regulatory Website Alerts

If the Lawlex subscription option isn’t for you then you can always subscribe to email alert services that are offered by most of the legislative and regulatory websites. This means they will issue the contact person with an alert email when there are updates or changes to legislation.

  • https://www.legislation.gov.au/ (Federal Law)
  • https://www.legislation.qld.gov.au/ (QLD Law)
  • https://www.legislation.nsw.gov.au/ (NSW Law)

Is it Legitimate? How to check if your ISO Certificate is Real or Fake

ISO Certificates should be proof that you have developed and implemented an ISO Management System to meet the requirements of the applicable reference standards. This might include one of the following ISO standards:

  • ISO 9001 Quality Management Systems
  • ISO 45001 Occupational Health & Safety
  • ISO 14001 Environmental Management Systems
  • ISO 50001 Energy Management Systems
  • ISO 55001 Asset Management Systems
  • ISO 17025 Testing & Calibration for Laboratories
  • ISO 27001 Information Security
  • ISO 22000 HACCP Food Safety

But how do you check if the certificate that has been provided is legitimate? There are plenty of shadowy operators in the certification industry so it is important to ensure the Certification Body that you engage to complete the independent, third-party certification audit of your management system is Accredited and your ISO certificate is genuine.

Are there really fake ISO Certificates?

Most definitely yes. A recent report into Fake ISO Certification indicated China leads the world in fake certificates. The report is titled Faking ISO 9001 in China: An exploratory study, and a copy is available by clicking HERE. The report concluded that there were four types of fake certifications as follows:

  1. Counterfeit ISO Certificates – where the organisation uses photoshop or other image editing software to create a completely fake certificate.
  2. Unaccredited ISO Certificates – where an unaccredited third party completes an audit and provides a certificate (this is the most common type of fake certificate in Australia – see HERE for more information).
  3. Paperworked ISO – where a company has used another organisations management system to achieve certification.
  4. Implemented but not in use ISO system – where an organisation has developed an ISO system but it has not been implemented so has no bearing on the business operations.

How to check if your ISO Certificate is Legitimate

In the past, you would need to check the accreditation body or certification body register to see whether the ISO certificate was legitimate. This was often impossible as the accreditation bodies and certification bodies didn’t always publish a register.

In order to try and stem the proliferation of fake certificates, the International Accreditation Forum (IAF) has now published a global database for accredited management system certifications called CERT Search.

To use the search function simply CLICK HERE and then enter the “Company Name” or “Certificate Number” and the results will allow you to verify the status of a certificate.

Government Funding Grants for ISO 9001 Certification

Did you know that many Australian businesses are actually eligible for help with ISO 9001 Certification through a government-funded Business Growth Grant? Click HERE for more information.

What to do if you find you have a fake ISO Certificate

If your search indicates that you or one of your suppliers have a fake certificate then you need to establish:

  1. Was anyone aware that the certificate/system was fake?
  2. What needs to be done to transfer your certification to an Accredited Certification Body?
  3. Does the management system conform with the requirements of the QMS standard?

If you were not aware that the certificate was a fake then contact the company that issued the certificate. Confirm the situation and then attempt to come to some resolution. We have heard of many situations whereby the threat of legal action achieves a refund however the majority of times it simply comes down to a costly lesson learned.

You can also contact ISO directly and report the sitaution. ISO takes very seriously any complaint related to the misuse of the ISO logo or false certification to ISO management system standards.

If you wish to report an organization that is falsely claiming to be certified to an ISO management system standard, you can send an email [email protected] with full details of the issue.

According to the ISO website, they will contact you within 14 days. Note that ISO cannot guarantee a resolution or assume any liability, but they can help to facilitate dialogue between the parties involved and work towards a positive outcome.

In order to transfer certification to an accredited Certification Body then I recommend you contact one of the certification bodies listed on this page HERE. Explain the situation and they will need to obtain a copy of your latest audit report (if the dodgy company provided you with one). Keep in mind that if you had a fake certificate then it is likely your management system has significant deficiencies; in which case you may need to engage an ISO Consultant to help close the gaps.

Quality Quote “Without data, you are just another person with an opinion”

Today’s Quality Quote is from William Edwards Deming – “Without data, you are just another person with an opinion”.

This statement is so true – quantitative data is key to determining performance against established Quality Objectives and determining the effectiveness of the organisation’s ISO 9001 Quality Management System.

But also true is the reverse of this concept as documented HERE which is a fantastic article that points out that “Without an opinion, you’re just another person with data”.

In light of the abundance of data in some sectors ie big data, without a system for interpreting the data, undertaking statistical analysis to identify trends and develop conclusions, you cannot form an opinion and all you have is the data.

I suppose the point of this is you need both data and opinion.
